Completely understand the dilemma you're facing with delivery times. Unfortunately, since we're tied to a courier company, they can only commit to the specified timeslot. The recent price hike for specific hour deliveries was quite steep, and we want to keep costs reasonable for our clients.

That said, we have a couple of alternative solutions that could work for you:

1. Schedule Earlier Delivery: We will recommend for your order to be delivered a day or even a few days in advance. Since our flower bouquets are either preserved or made with crochet flowers, they can last for days and even weeks! This option could save you some extra delivery costs and help alleviate any unnecessary anxiety — we totally get how stressful it can be!

2. Self-Collection + Lalamove / GrabExpress: If you're concerned about keeping it a surprise / require it to be delivered more specifically, do consider self-collection option & then you could use a service like Lalamove or GrabExpress to have them delivered at a time that suits you!

While we can certainly make arrangements for delivery there, we strongly advise against it for a couple of reasons that might make your day a bit more stressful than it needs to be.

1. Firstly, you'll need to be at the venue throughout the delivery window, which could be anytime during the specified time. I know how exciting and busy graduation ceremonies can be! With all the joy and celebration around, you might find yourself caught up in the moment or even in the auditorium when the flowers arrive.
2. Secondly, from our experience over the last decade, it tends to be quite chaotic at these events. You’ll likely be busy taking photos, mingling with friends and family, and, let’s be honest – your hands will probably be full! This could make it tough to keep your phone handy when the driver arrives, and finding each other in a large crowd can be challenging.

To ensure you enjoy every moment without any added stress, we recommend that you schedule the flower delivery for the day before. This way, you can fully focus on celebrating your achievement!

--

TLDR:

Yes, direct delivery to graduation venues, but we  advise against it due to crowd congestion, strict timing, and potential delays. Delivering to a home address or picking up the bouquet beforehand is often much safer.

Delivery Challenges at Venues

• Strict Schedules: Ceremonies run fast, and precise timed-slot deliveries can incur extra fees or miss the window if the program shifts.
• Crowds and Chaos: Graduation halls get extremely packed, making it hard for a courier to locate the recipient.
• Access Limits: Campuses and auditoriums often restrict vehicle drop-offs or lack easy waiting areas during major ceremonies

Recommended Alternatives

• Home Delivery: Send the flowers to the graduate's home a few hours before the ceremony starts.
• Self-Pickup: Collect the arrangement on the way to the venue for assurance

We keep our prices low by focusing exclusively on decoration setups. We do not assist with sourcing or booking venues or other vendors.

You will need to confirm the venue and other vendors on your own, but if you need us to liaise with them on the day of the event, we are more than willing to assist!

Our services do not extend to sourcing or booking venues and photographers. This is primarily due to the various complexities involved, and we feel it's best for clients to engage directly with the venues. Furthermore, we do not partner with a specific photographer, as each has their own unique style.

We do not have a strict lead-time for our proposal set up. We can confirm set ups 90 days in advance, to even next-day. It really depends on our availability & popularity of the date.

If you have any issues or concern, do drop us a WhatsApp (+65 9639 5282) on the date & timeslot you are looking at when you can to check our availability before moving forward!

We don't have a strict rule to as how long the set up can be placed for, you are able to let us know your plan (i.e. The time to set up, the time to tear down) and we will will reserve the slot for you accordingly.

But do take note:

• Set-up time should be as close to proposal timing as possible as there are perishables (i.e. helium balloons & battery operated items). Ideally setting up maximum of 90 minutes before proposal timing will be the earliest recommended.
• The client is responsible to ensure that the set up is being taken care of during the entire period, any damages will be charged to the client accordingly
• Latest teardown daily is by 9PM

Yes you can, but there is an overnight additional charge: $150

* Subjected to approval based on location / timings (i.e. Strict no to overnights for outdoor/public areas)

* Its the client's responsibility to ensure the prop's integrity throughout (from the time set up is complete to us arriving to teardown). Any damages to any props will be charged accordingly to the client.

* Latest teardown daily: 9PM

Here are some things to consider when deciding on the venue:

Permissions

• For rented venues (i.e. Hotels / Restaurants) - Do check with the venue if they do allow external decoration vendor to set up at their venue. There are certain hotels / restaurants which doesn't allow external vendor, while some charge extra. So please do check with the venue if they do allow, if there are any restrictions & things to take note of.
• When it comes to public areas, make sure to check with the management about any permissions or licenses you might need and apply for them. We'll need a written approval as proof to set up in these public spaces. In many so-called free or public areas, it's actually not permitted to put up any decorations. Most management has mentioned that setting up could disrupt public use, so they often have security to remove us if we try.

It's the client's full responsibility to reserve & ensure the venue is ready for our set up.

Suitability

• Flat Ground?
• Windy?
• Wet Weather Plan?
• Power Sockets?

Please do ensure:

• Hotel is aware that external vendor is coming to do the decorations
• Do let us know if there are any restrictions from the hotel (i.e. No balloons, etc)

Plan A: Set up before your check-in

• Before booking the room, you will need to check with hotel if they are able to allow us access up to the room before you check-in to do the decorations.
• If they are able to, we will update you via Whatsapp:

1. When we have arrived at the hotel
2. When we have entered the room
3. When we are done setting up (with pictures)
4. And we will return the keycard to front desk (if any)

• We will come back to teardown at the agreed timings

Plan B: Set up while you are out for dinner

• Check with hotel if they are able to allow us access up to the room when you are not around to do the decorations. If not, you can leave the keycard at the front desk or pass it to us before you go for dinner.
• We will update you via Whatsapp:

1. When we have arrived at the hotel
2. When we have entered the room-
3. When we are done setting up (with pictures)
4. And we will return the keycard to front desk (if any)

• We will come back to teardown at the agreed timing

---

Please do ensure that all belongings are well secured. We are not liable for any damages or  loss /of items in the room.

For public spaces, please do ensure:

• All required license are applied / permissions are approved. We'll need a screenshot of the confirmation / approved permit the day prior to set up.
• Space is ready for us when we arrive for set up (i.e. If its a public area, please do ensure that there are friends/family members who are at the spot before we arrive and that the space is vacant for us to set up)
• The public do not interfere with our set ups and touch the set up throughout (between the period when we are done setting up to when we tear down). Hence please do ensure that friends/family members are around to protect the set up throughout the proposal. Any damages will be charged to the client accordingly
• It must be accessible via trolley and with the nearest carpark within 3 minutes walk. If there are steps / further than 3 minutes walk, extra charges will be incurred

When it comes to public areas, make sure to check with the management about any permissions or licenses you might need and apply for them. We'll need a written approval as proof to set up in these public spaces. In many so-called free or public areas, it's actually not permitted to put up any decorations. Most management has mentioned that setting up could disrupt public use, so they often have security to remove us if we try.

• For Restaurants:

1. Please do mention upon reservation that you are looking to propose & are engaging an external vendor (some may not allow external vendors)
2. Do mention the exact location that you are looking to propose at (i.e. The Alkaff Mansion -  Gazebo / Conservatory, SIRI House - Outdoor Private area) as there maybe charges / minimum spending to book out the area for you
3. Check with the restaurant what time can we start setting up + wet weather plans (if any)

• For Other Event Space:

1. Please do mention upon reservation that you are looking to propose & are engaging an external vendor (some may not allow external vendors)
2. Do read our package on our set-up & tear down timings and book the timeslot accordingly to allocate time for us to set up

We will drop you a text:

1. The day before to update that all preparations are in accordance for your proposal
2. The day itself when we are on the way to the venue
3. When we have arrived at the venue
4. When we are done (with pictures of the set up)
5. When we have left the venue
6. When we are on the way back for the teardown

TOKI's Responsibility

• TOKI is responsible for the timely set up of the decorations only  (i.e. everything that is stated in the quotation)
• If any form of coordination / liaising is required, please do let us know in advance as there are coordination fees

Client's Responsibility

• Ensure that the venue is ready for us at the stated set up time (i.e. all reservations, permissions, etc.) We are not responsible for any delays in the completion of the set up due to the venue not being ready upon agreed set up time
• Ensure the props are not damaged between the entire period (from the time set up is completed till the tear down time). Any damages will be charged fully to the client

Because, let's be honest - planning a memorable proposal is not easy.

Some common problems & pitfalls:

1.  It's ALOT of work - more than you expect for sure! From sourcing for locations, getting & preparing all decorations, planning how to get your partner to the location without suspicion & any contingency plans - there ARE a lot of things to plan & manage
2. There is only ONE CHANCE to get it right; The concept of "practice makes perfect" cannot be applied. How do you execute a memorable proposal - when it is also the first time you are doing it?
3.  Your MemoryYour memory of the proposal should be on the significance of popping the question & subsequent celebrations - not about rushing around, being anxious, dripping in sweat, etc.
4. Costs Think that it is cheaper when you decorate your own venue? Thank again! For some big scale props - it's expensive & it used only once. For others, you may need to double up because things will go wrong. It adds up rather significantly, you can actually may save by engaging professionals to get it done for you.
5. Clean Up After popping the question, everything is beautiful. Then the awkward moment comes when you (& your new fiancée)  have to start cleaning up the area.

Hence, after seeing our personal friends face these issues, we decided to make use our experience from previous wedding planning & set ups and to provide a full Proposal Set Up Service.

From only $498 onwards, our all inclusive & fuss-free set up allows you to avoid facing all the issues above & fully immerse in the moment of a lifetime. Click the link below for our fully transparent & customizable packages offered:
